Depending on the element that’s failed, the operator has two choices – to continue using the equipment or mark it as ‘out of action’. All failed reports are sent directly to the site manager, so they have full visibility into the actions of the operators. If the operator has chosen to continue using a dangerous truck, and the manager decides that it is too dangerous to use, they can change the truck to ‘out of action’ in the portal and it will stop the truck from being accessed by anyone until its changed back to active.
If an operator’s licence expires, they are no longer permitted to operate the machine types covered by that licence. Our app will automatically remove their access to any machine types associated with the expired licence.
For example, if an operator holds both a B1 and a D1 licence and the B1 licence expires, they will be unable to use any B1 machines. However, they may continue to operate D1 machines as long as that licence remains valid.
To regain access to the expired machine category, the operator will need to complete refresher training. Once this is done, the licence details can be updated in the app.
Yes, but not all the time.
When you first sign in, you’ll need a stable internet connection via Wi-Fi or a 4G network. This allows the app to sync with our database and download your user details, licence information, and the trucks available to you through your organisation.
Once this information has been verified by our servers, the app can continue to work even if your internet connection is lost. You’ll still be able to connect to trucks via Bluetooth and complete daily checks as normal.
However, any completed checks will not be uploaded to the admin or manager portal for audit purposes until the device reconnects to a Wi-Fi or 4G network.
The SafeOp app is available on both Iphone and Android devices.
No. The device can only connect to one phone at a time. If another phone is already connected, you’ll see a “Failed to find device” message. If someone is actively using the truck, the app will notify you that it’s in use by another operator.
In practice, this situation shouldn’t occur, as you won’t need access to a truck that’s already being operated by someone else.
Use the Forgot password option to send a reset link to your email. Follow the link to set a new password and sign back in. This option is available in both the web app and the mobile app.
Safety authorities focus on thoroughness rather than speed, and there is no fixed time requirement. As a general guide, a pre-shift check typically takes around 1.5–3 minutes, depending on the number of questions included. A full daily check usually takes 5–10 minutes, again depending on how detailed your checklist is.
Yes. At the end of the checklist, operators can enter the truck’s operating hours, add notes or comments, and attach photos directly to the report. This is useful for documenting new damage or any issues with the machine.
Once the SafeOp device is installed, a connected device is required to operate the truck and it cannot be overridden with a key. Bluetooth is a reliable technology used widely across the automotive industry and issues are rare. However, if you’re unable to connect, please contact us and we’ll help troubleshoot the problem.
Yes. The app works on any device that supports the Apple App Store or Google Play Store, including tablets and compatible warehouse scanner devices.
Yes. Operators can view their licence information in both the mobile app and the web app. In the mobile app, this is shown on the Profile page. In the web app, open the top-right menu, select Manage Profile, and scroll to the bottom to view licence details.
Managers can view operators licence information for their assigned sites, while Admins have access across the entire organisation, including all locations.

Yes, absolutely! You can add/delete questions, change their order of display and amend the wording. Only available on Admin accounts.
At present, you can bulk upload licence information using a CSV file. Bulk uploads for users and machinery are not currently supported.
There are three user roles: Operator, Manager, and Administrator.
Operators have full access to the mobile app and can view only their own information in the web app.
Managers have full access to the mobile app and most web app features, limited to their assigned locations.
Administrators have full access to all features across both the mobile and web apps, including all locations.
Yes. Managers can receive email notifications when an operator submits a failed report and when a licence is approaching its expiry date. Notification settings can be configured to control which alerts are sent and who receives them.
Absolutely. For each truck, you can access a complete history of submitted daily and pre-shift checks. This includes who completed the check, when it was done, how long it took, and whether it passed or failed. You can also view any notes, comments, and attached images.
All inspection and usage data can be exported for audits and compliance purposes. This includes individual daily and pre-shift check reports, as well as summary KPI reports covering failed checks, operator hours, truck hours, and overall fleet performance.
Exported reports provide a clear audit trail, making it easy to demonstrate compliance, identify trends, and share information with auditors, safety teams, or management.
The platform includes multiple controls to manage access across sites and machines. By default, operators must have a location assigned to their account before they can access a truck at that site. For example, an operator assigned to Location A will not be able to access trucks at Location B unless an administrator explicitly adds that location to their profile.
Administrators manage all access permissions. Machines can also be set as “Open to all users”, allowing any licensed and approved operator, including those outside your organisation to use the truck if required.
Managers and Administrators can use the Archive feature to temporarily suspend a user’s access to forklifts. Archived users can be easily restored at any time by moving them back to the main user list in just a few clicks.
Yes. A truck can only be returned to service by a Site Manager or an approved Service Provider. All actions are fully audited, so you can see exactly who returned the truck to service if it is reinstated incorrectly.
Other / General / Operation
No, the keys will no longer work in the truck, it can only be started by a licenced user who has completed a daily check. If you just want the app based checklists, but not the key control checkout our Basic package.
Proximity signs are a new addition to the control guard box. You can install signs in forklift operation areas where your need staff or site visitors to be more aware. When an operator starts a session on a forklift, it will send a signal to the sign to let people in the area know that a forklift is in operation and to take extra care and precaution.
There is no limit on the number of users you can add. You can create unlimited operators, managers, and administrators, allowing the platform to scale easily as your organisation grows.
Engineers can access the truck using a separate app, which allows them to log in, complete outstanding maintenance jobs, and clear any failed checklist items.
On-site training is available through your local dealer or a member of the SafeOp team, who can work with your team on-site to ensure everything is set up and running smoothly. Remote support is also available, simply request an online meeting or contact us directly for assistance.
If the Control Guard device loses power, the truck will automatically be prevented from operating. This ensures the machine cannot be used without proper authorisation or safety checks being completed. Once power is restored, normal operation can resume through the app as usual.
Loss of power would typically only occur if there is damage to the device wiring or if the truck itself is no longer supplying power. In these cases, the issue should be treated as a forklift fault rather than a Control Guard failure and should be inspected and repaired by a qualified engineer. This fail-safe design helps prioritise safety while maintaining full control and auditability.
Each Control Guard device is installed and paired to a specific truck. Only SafeOp engineers and certified dealers have access to the app required to link a device to a truck, ensuring the installation and pairing process is controlled and secure.
Installation time varies depending on the type of machine. In most cases, installation takes between 30 minutes and 3 hours.
You can add as many sites or locations as needed under a single organisation.

Yes. The Control Guard device is designed for industrial environments and has been IP rated, making it suitable for outdoor use. Final confirmation of the specific IP rating is pending and will be shared once confirmed.
The truck cannot be overridden in any circumstance. SafeOp is designed to always promote site safety and proper operating practices. Allowing forklift use without the required checks and authorisation, when in a hurry, significantly increases the risk of accidents and injury.
In emergency situations, alternative safety procedures should be followed, and forklift access should not be bypassed as a substitute for proper risk management.
No. The system is designed to be non-invasive and does not interfere with the truck’s core operating or safety systems. When installed by SafeOp engineers or certified dealers, it is fitted in line with manufacturer guidelines and industry best practices.
Administrators and Managers can access operator licence information. They can view, add, edit, archive, or delete licences as required.
Managers are limited to viewing operators within their assigned locations, while Administrators can view licence information for all users across the entire organisation. Licence data is not accessible to anyone outside your organisation.

The latest version of the app includes a caching system that allows continued use even if the servers are temporarily unavailable. Operators can still access the app and complete checklists as normal.
Once the servers are back online, all stored data is automatically uploaded and saved, ensuring nothing is lost and audit records remain complete.
Traning, Support & Setup
This depends on the size of your operation. First, we’ll set up your organisation details, users, and subscription in the system. Once that’s complete, we’ll agree a suitable date for a SafeOp engineer or certified dealer to install the device(s) on-site.
Installation typically takes 30 minutes to 3 hours per truck. As soon as installation is complete, the system is live and ready to use—no more paper checks required.
Remote training can be arranged for team members who are unable to attend on-site training on the installation day. We can also provide remote sessions in advance, allowing managers to get everything set up ahead of time.

Ongoing customer support is a priority for us. If you experience any issues, you can contact your certified dealer or reach out directly to our support team, and we’ll work with you to resolve the issue as quickly as possible.
The Control Guard device also includes a 12-month warranty. If a fault occurs within this period, the device will be repaired or replaced in line with the warranty terms.
We continuously improve the SafeOp system with regular updates, including bug fixes and new features. You’ll be notified when updates are available so you can stay up to date with the latest improvements.
There is currently no minimum contract length. However, there is a one-off upfront installation fee for fitting the device.
We can arrange an on-site demonstration using a SafeOp-equipped forklift to walk you through all system features and answer any questions. However, we’re unable to temporarily install devices on your own trucks for trial purposes.
As an alternative, you can start with our Basic mode, which has no upfront cost and allows you to replace paper checks by completing inspections through the app.
Please note that Basic mode does not include features such as key control, driver control, or sequential seatbelt functionality.
Updates are released through the Apple App Store and Google Play Store. You can choose to have updates downloaded automatically on your device or install them manually, depending on your device settings.
Commercial / Purchasing
SafeOp offers three packages: Basic, Pro, and Ultra, designed to suit different operational needs.
Basic
Includes daily and pre-shift checks completed through the app. No Control Guard device is installed, so features such as key control, driver control, and sequential seatbelt technology are not included.
Pro
Includes everything in Basic, plus the Control Guard device. This enables key control, driver control, and sequential seatbelt technology. Operators cannot use the truck until a check has been passed and the system confirms they are a licensed user for the organisation.
Ultra
Includes all Pro features, plus an additional Bluetooth module for Proximity Signage. This is ideal for busy sites where pedestrians need clear warnings of operating forklifts. For more details, see our proximity signage solution.
Yes. You can start with the Basic package and upgrade at any time once you’re comfortable with the system. Subscription upgrades can be made mid-month and will be automatically updated and pro-rated.

Pricing is per truck, not per site. Each truck can have its own subscription level, allowing you to mix and match packages based on your needs.
For example, some trucks can be on the Basic package if full control isn’t required, while others, such as those operating in high-risk areas can use Pro or Ultra, including proximity technology where needed.
You can add new trucks directly to the Machines list in the SafeOp web app. You’ll then purchase additional subscriptions for each new truck you add.
Once everything is set up in the system, you can contact a certified SafeOp dealer to arrange installation of Control Guard device if you’re using the Pro or Ultra package.
